Convert an EXW toy price into two figures: cash required to receive the shipment and landed cost after confirmed tax recovery. For promotional toy buyers, the worksheet must add origin charges, freight, insurance, destination handling, delivery, brokerage, duties and taxes without counting any charge twice. Start with the actual sale unit and documented packing—not the number of components inside a toy set—and use item-specific supplier, forwarder and broker quotations before approving the order.

Set one destination for the calculation, such as your warehouse receiving dock. Comparing a port-only estimate with a warehouse-delivered quotation will not produce a useful buying decision.

Which variables belong in an EXW-to-landed-cost worksheet?

Q — Purchased sale unitsNumber of complete sale units being costed. Match the quotation unit: individual toy, complete kit, multipack or another expressly stated unit.
P — EXW price per sale unitItem-specific EXW price in the worksheet currency. Record the named pickup location and the packaging covered.
G — Goods subtotal=Q*P
A — Additional project costsIncremental artwork, setup, printing, packaging, inspection or testing charges assigned to this order. Exclude anything already included in P.
O — Origin chargesSeparately payable pickup, loading, origin transport, export handling and documentation charges.
F — Main freightShipment-specific main transport charge. Identify which surcharges the freight quotation includes.
I — Cargo insuranceSeparately payable cargo insurance premium, if purchased.
H — Destination handlingSeparately payable destination terminal, handling, storage or related charges included in the shipment budget.
L — Final deliveryTransport and agreed delivery services from the destination terminal or depot to the worksheet's named receiving point.
B — Brokerage and filing servicesBroker and filing service charges only. Put duties and taxes advanced by the broker in D, N or R instead.
D — Duties and tariffsShipment-specific duty and tariff amount, entered separately from the broker's service fee.
N — Nonrecoverable taxesTaxes treated as a final cost for this transaction.
R — Confirmed recoverable taxesTaxes expected to be recovered through the importing entity's applicable refund or credit process, after transaction-specific confirmation.
K — Landed cost after confirmed tax recovery=G+A+O+F+I+H+L+B+D+N
C — Cash requirement before tax recovery=K+R
Per-unit outputsLanded cost after confirmed tax recovery =K/Q. Cash requirement per unit =C/Q.

How should taxes and broker charges be separated?

Keep duties, nonrecoverable taxes, recoverable taxes and broker service fees in separate cells because they answer different budget questions.

Ask the broker to split its estimate into service charges, duties, taxes and other disbursements. If its total includes duty advanced on your behalf, do not enter that full total in B and then add the same duty again in D.

Classify a tax as recoverable only after your tax adviser confirms the treatment for your importing entity and transaction. Until then, retain it in the nonrecoverable-cost budget. Confirmed recoverable tax can still require funding before the refund or credit is realized; the cash formula assumes that funding occurs before recovery. Track payment and recovery dates separately.

Use K/Q to compare purchase economics after confirmed tax recovery and C to plan funding. Neither figure is a customs declaration value or a prescribed accounting treatment.

What does the rainbow ball catalog reference actually establish?

Catalog price referenceUS$0.62 / pc · EXW. Indicative reference; confirm the current price for the required volume and packaging.
Catalog minimum1 cartons / 240 pcs. Applies to the source configuration.
Customization conditionsPrinting, labels, header cards or new boxes have separate minimums and setup charges.
Freight, duties and taxesIncluded only when stated in the quotation.

Which sale-unit and packing details must be confirmed?

Confirm the billable sale unit and packed shipment configuration before using a freight estimate: a piece price and a carton minimum do not describe the full shipping specification.

For the rainbow ball reference, the price basis is per piece and the recorded minimum is one carton containing 240 pieces. Request the individual packaging format, pieces per inner and master carton, outer carton dimensions, gross carton weight and total shipment carton count for the exact configuration being quoted. Use carton gross weight for shipment costing; do not treat it as unit weight.

Record any order-multiple restriction separately from MOQ. A minimum quantity is not, by itself, proof that every larger order must be a full-carton multiple. Custom packaging also needs its own cost and packing confirmation before the worksheet is updated.

How does a hypothetical 240-piece order calculate?

Hypothetical quantity assumptionQ = 240 individual toys.
Catalog-based price assumptionP = US$0.62 per piece, EXW.
Calculated goods subtotalG = 240 × US$0.62 = US$148.80.
Landed shipment cost after confirmed tax recoveryK = US$148.80 + A + O + F + I + H + L + B + D + N.
Landed cost per toy after confirmed tax recoveryK/240 = US$0.62 + (A + O + F + I + H + L + B + D + N)/240.
Shipment cash requirement before tax recoveryC = K + R.
Cash requirement per toyC/240 = K/240 + R/240.
Arithmetic sensitivity—not a quoted chargeEach additional US$24 of nonrecoverable shipment cost adds US$0.10 per toy at this quantity: US$24/240 = US$0.10.

How should buyers compare competing quotations?

Choose the quotation with the lower fully scoped landed cost only after both quotations cover the same toy, sale unit, packaging, quantity and receiving point.

For each quotation, mark every worksheet charge as included, separately payable or not applicable. Use zero only for a confirmed inclusion or a genuinely inapplicable charge—not for a blank estimate. The rainbow ball catalog expressly makes freight, duty and tax inclusion conditional on the quotation. Rainbow ball catalog

Compare K/Q for purchase cost and C for cash exposure. If you also price a larger order, recalculate goods, packing and freight rather than spreading the original transport estimate across more units. The larger order is the better cost choice only when its revised landed unit cost meets your target and its total funding requirement is acceptable.

For a documented quotation, specify artwork, volume, destination port, final delivery address and required arrival date. Request a line-item inclusion schedule so the resulting offer can be entered directly into the worksheet.
